TT: Device Messages
Note: New instances/applications of TTP are not currently being supported.
Overview
The TeamTime Portal Device Messages screen has the ability to display messages in order to communicate with Employees. Similar to Global Greetings in TeamTime, these messages can be important announcements, deadlines, reminders or simple greetings. Moreover, these messages can be global or device-specific to customize your communication. Messages that display on any device are created and controlled in WinTeam via the Messages screen. Users can choose the message and response type, whether to track responses and how long the message should display on devices.
These messages are for use with the TeamTime SIP system.
When the TeamTime Portal Messages screen is loaded all message records the user has permission to see will populate. If the WinTeam database is unavailable, no messages will display.
The Device Messages screen is accessed from the TeamTime Menu and the TeamTime Defaults Device Settings tab by clicking the Device Messages button.
Key Functionality
Click the Advanced filter button to create or edit a filter for finding and/or sorting specific records. You can also select a Saved filter. Click the Apply Filter/Sort button to apply any filter or sort criteria you created. Click the Remove Filter/Sort button to remove a filter or sort, if one is currently applied. For more information see Advanced Filtering.
Enter a Job name or number or use the Lookup to locate a Job to filter the message records in the Messages grid by Job. The default for this field is blank.
Double-click the field to go to the Job Master File.
Select from the list of devices. This list contains devices that have been set up in the Device Settings screen and is limited by the user's location security. Select a device to filter message records in the grid by device. The default for this field is blank.
This check box is selected by default to include all Global Messages in the Messages grid. Clear this check box to filter out Global Messages. If there is a new message, employees will hear the message after they enter their employee number.
Click the Refresh button to display records based on selections made in the Job Number, Device and Global Message check box fields.
Enter a unique short description (less than 50 characters) to describe the Message.
Enter the Message in this field (up to 1000 characters). This is what will be shown on the devices. Double-click the field to open the Message zoom pop-up. The Message can be entered on the zoom pop-up as well. If the message is too long to display completely, hover over the field to display the entire message.
Note: If you enter a long message, be sure to adjust the Punch Confirmation value to give employees enough time to read the message.
Select the type of Message the record will be.
Double-click the field to display the Message Response Types screen.
Select these options to generate the TeamTime Messaging Action Item based on the response.
Select Notify on Response 1 to generate an Action Item for responses Accept, Ok and Yes.
Select Notify on Response 2 to generate an Action Item for responses Decline and No. You can not select this option for Type Ok Only .
This check box is cleared by default. Select the check box to designate the Message as a Global Message, which means the Message will be seen by all Employees on all devices. When this check box is selected, the Device and Job Number columns will be cleared and unavailable. Each Message requires only one of the three (Global check box, Device or Job Number) to be selected.
If the user has Restrict Global Messages assigned as a screen feature, the check box will be disabled and records marked as Global Messages will be read-only.
Click the drop-down arrow to display a list of devices. Select which device will display the Message.
If the Global check box was selected or the Job Number field was filled in, this field will be disabled.
Enter a Job name or number or use the Lookup to locate a Job. The Message only will apply to whichever Job is selected.
If the Global check box was selected or the Device field was filled in, this field will be disabled.
This field automatically populates with the Job Description if a Job Number is entered in the Job Number field. This field is read-only.
Enter the date the Message should start displaying.
Note: The Start and End Times specified for each message in the Messages screen will pertain to the time zone of the device. For global messages on devices that span time zones, this means that a message slated to display at 4:00 p.m. will display at 4:00 p.m. Eastern Time on devices on the East Coast, but messages on West Coast devices will not display until 4:00 p.m. Pacific Time.
The device Time Zone is stored in the Device Settings (link) screen in WinTeam.
Enter in military format the time that the Message should start displaying.
Enter the date the Message should stop displaying.
This field is not required unless an End Time is specified.
Enter in military format the time that the Message should stop displaying.

Select this check box to track all responses to the Message by device and Employee. This check box is cleared by default if the Message Response Type has only one answer available (Button 1). This check box is selected by default if the Message Response Type has two answer possibilities (Button 1 and 2).
When this check box is selected, the Read-Once check box will be enabled.
Review Message Responses on the Message Response screen.
Select this check box to require the Message to be read (and responded to) only one time. This check box is disabled if Track Responses is not selected.
Click to display the TeamTime Portal Clock Message Responses screen.
As long as the user is licensed for TeamTime, the Messages screen will be available in the TeamTime menu regardless of whether a user is licensed for Messages.
The Messages screen is part of the TT ALL Security Group.
Records displayed in the grid are based on the user's company and location security of Jobs as well as location security of the devices. Global Messages will display as read-only in the grid if the user has the Restrict Global Messages assigned to his/her Security Group. In addition, if Read-Only is assigned to the user's Security Group, message records in the grid all will be read-only.
