SYS: Alert Schedules

Overview

The Alert Schedules screen can be accessed from the Compliance Tracking Codes (Alert Engine tab) screen by double-clicking in the Alert Schedule field.

The Alert Schedules screen is used to schedule alerts to occur at specific time parameters.

Alert Schedules have rollover functionality.

Security

The SYS Alert Schedules screen has its own Security Group, SYS Alert Schedules.

The SYS Alert Schedules screen is part of the SYS Defaults / Setup ALL Security Group.

Toolbar

Rollover button

Use the Rollover icon on the toolbar to create a new Alert Schedule.

When a record is rolled over, the new Description name takes the original Description and appends (1) to the end. It will increment the count (2) as the same record Description is rolled over so a unique description exists.

Lookup

Use the Lookup list to locate an existing Alert Schedule.

Schedule Name

The Schedule Name field contains the name of the Alert Schedule you are currently viewing. All Schedule Names must be unique.

Alert grid

The Alert grid is used to determine when and how often e-mail alerts are generated and to whom the alerts should be sent. You can send alerts to different E-mail groups depending when they are due.

Example:  You can send an alert to the employee when a license is due within 30 days. You can send an alert to the employee and his or her supervisor when a license is due within 14 days. You can send an alert to the employee, his or her supervisor, and the department manager when a license is due within 3 days.

Days Until Due

The Days Until Due field specifies when the e-mail alert is scheduled to be generated. If you type a 14, an alert is generated when a license is due in 14 days. A 7 indicates an alert is generated when a license is due in seven days. You can also use negative numbers. If you use -14 in this field, an e-mail alert is generated when a license is 14 days past due.

Continue Sending

When you select the Continue Sending check box, e-mail alerts are generated each time the E-mail Engine runs until the Compliance Code is no longer due or the next alert level begins.

Example:  if the Days Until Due value is 14, an e-mail alert is generated each time the E-mail Engine is run and the code is within 14 days until it is due. Using the example above, the system would send an e-mail on days 14, 13, 12, 11, 10, 9, 8, 7, 6, 5, 4 (until it is completed) and then the next alert level begins.

E-mail Recipient Group

Choose an existing E-mail Group by clicking the E-mail Recipient field and choosing a Group from the list that displays.

Even if you do not specify an E-mail Group, the Engine will still log the Compliance issues into the Alerts table, but no e-mail will be sent.

You may want to setup an E-mail Group of "None", just for this purpose.

Notes

Use the Notes field to type any Notes pertaining to the Alert Schedule. If you enter more than one line of information, those lines automatically wrap for you.

Additional Recipients

Type the e-mail addresses for anybody you want to send e-mail alerts in addition to the E-mail Groups already listed in the Alerts grid. Separate e-mail addresses with a semi-colon.
