PS: Dispatch Notes
Overview
Dispatch Notes allow dispatchers to leave messages for one another concerning the scheduling of Jobs. These notes may be viewed by anyone and are helpful when going between shifts.
You can access the Dispatch Notes screen from the Schedules screen using the following methods:
- Click Menu, and select Dispatch Notes from the drop-down menu.
- Press CTRL + N.
Key Functionality
Use the Date Range to limit the Dispatch Note records that display. The default is the first day of the previous month and the last day of the following month, giving a range of three months. If the dates are blank, all records will display. The records display in ascending date order (most recent date first).
Use the Initials fields to limit the Dispatch Note records that display. Initials can be an abbreviation, the name of the person, or the name of a shift, and signify where the message is coming From and where to message is going To.
Example: If there are three dispatch shifts, the Initials file may contain names of Shift 1, Shift 2, and Shift 3. Employees on Shifts 1 and 2 leave messages. When the dispatcher for Shift 3 comes in, she does not need to see the notes from Dispatch Shift 1. In theFrom field, she enters "Shift 2." They system filters the list to display only those records for the selected date range from Shift 2.
The Details grid has standard grid features. See Understanding Grids for more information.
Note: If either the Overtime Reason or Overtime Hours field has an entry, then the other becomes a required field.
