Experience
Overview
The Experience window is accessed from the Personnel Scheduling Menu and the Schedules screen (by clicking the Experience button for the selected employee). Use this window to see if the employee has experience at, or is locked out of, a particular job or post.
If an Employee works at a post for the first time, and the Wizard has been run to update the hours to Timekeeping, the system automatically creates an experience record for the Job and Post for the employee. If the Wizard was used, the Type of Experience field will display System Maintained.
If you enter an Experience record for a Post that already has an experience record, you will receive a message stating: "Since an experience record already exists for this post, you must change the existing post record.".
If an employee is locked out of a Post, Job or Customer the employee is removed from the Master Schedule and any Working Schedules from the date the lock out record was added to the system and forward.
If you attempt to add an employee to a Post, Job or Customer that they have been locked out of, you will receive an error message, and are prompted to select another employee.
Key Functionality
Enter the Employee Number or use the Lookup to locate an Employee record.
Once you enter the Employee Number, the Employee Name will display.
Type the Job Number in this field, or use the Lookup to locate the Job Number.
If you use the Job Number Filter, the name of the Job will display.
Note: If an Employee Number was not entered, the system does not bring up experience records for this Job. It is not intended to be used to query experienced employees for a Job. If this is your intent, then you would need to perform a Query from a shift within the Schedule or run the Experience Report with a Report Type of Experience by Job.
Type of Eligibility
There are four Types of Eligibility:
- Post Only–When this option is selected, you must select a valid post for the job. When an employee works at a post for the first time, the system automatically creates a System Maintained experience record for the job, and post for the employee.
- Entire Job–The employee is locked out of all posts in the job.
- Entire Customer–The employee is locked out of all jobs and posts for the customer.
- Entire System–When this option is selected, all fields are disabled except Type of Experience and Lock Out Reason. The employee cannot be scheduled in the Working or the Master Schedule (the employee is removed from the Working and the MAster Schedule based on the date the lock out was added to the Experience window)
Customer Number
Select or view the Customer Number associated with this Experience record.
Job Number
Select or view the Job Number associated with this Experience record.
Type Of Eligibility
There are two Types of Eligibility available for selection. These are the Entire Job or Post. If the Post option is selected, you must then select a valid post for the Job. When an employee works at a post for the first time, the system automatically creates a System Maintained experience record for the Job and Post for the employee.
Post Description
This option is only available if the Type of Eligibility is selected to Post Only.
Select from the list of Posts for this Job.
Date First Worked
This field is populated after the Personnel Scheduling wizard is run. The wizard finds all new employees who just started working this job and populates the appropriate date.
Date Last Worked
This is an optional field that is used to enter the last date worked at this post. This date will be filled in by the system during the Update Scheduling process.
Type of Experience
There are three options available:
- System Maintained - Once an employee works at a position and the time has been updated through the wizard, an experience record will be created for the employee for the Post and Job. This will be the description selected for this record.
- Other - If this option is selected, then the Other Description field must be filled in. The selections for the Other Description are made through the Experience Types add/edit list.
- Lockout - If this option is selected, then this person will never be selected to work at this Job and Post ever again. The Lockout option means that this employee can never work at this Job and Post. If this option is selected, a reason must be entered in the Lock Out Reason field.
Other Description
This option is required if the Other option is selected in the Type of Experience field.
Select an Experience Type.
To add a new Experience Type to the list, double-click in the Other Description cell, or enter a new Experience Type and press the Enter key. The Experience Types add/edit list displays.
Lock Out Reason
This option must be filled in if the Lock Out option is selected in the Type of Experience field.
Select or enter a Lock Out Reason.
If you enter the name of a new Lock Out Reason, you the option to add the new description to the existing list. If you select to do so, this description will become a permanent part of the list. Double-click to open the Lock Out Reasons add/edit list.
Allow Overwrites
This option is only available if the Type of Eligibility is Post and the Type of Experience is Other.
If Allow Overwrites is selected, then a System Maintained record can overwrite this user added experience record.
Notes
Use the Notes field to enter any notes pertaining to this Employee Experience record. If you enter more than one line of information in this field, the system automatically wraps the lines of information for you.
These Notes can be included when running the PS: Experience Report.
Security
The PS Experience screen has its own Security Group.
The PS Experience screen is part of the PS ALL Security Group.
