TT Message Report

Overview

Use the Message Report to filter and maintain message responses. This report can be opened from the Reports menu in either the TeamTime or System modules. It is the same report from both modules, however TeamTime Messages display by default when opened from the TeamTime module, and SMS Questions displays by default when opened from the System module. You can see both types of messages in the report from both locations by changing the advanced filter.

You can view this report by Message or by Recipient. The default view is by message. The options that are available in the header area and grid is based on the view that is selected.

Header Area

Use the options in the header area to filter and refine the data in the grid.

Filter

Use the filters to locate specific records.

EE (Employee) Lookup – This filter is available when displaying the data by recipient. Enter an employee number or click the binocular icon to search for an employee.

TT Message Lookup – Enter a message ID or description or click the binocular icon to search for message type.

Date Range

Enter dates or click the calendar icon to select dates.

  • When viewing data by Recipient, this date range applies to the recipient's Response Date.

  • When viewing data by Message, this date range applies to the Start Date of the message.

View Data By

Use these options to change the view of the data.

Message– Use the Message option to view a summary of the messages. When viewing records by Message, you can view the date/time scheduled, number of recipients, time zone, body of the message, senders employee number including action item type, action item on yes responses, replies to yes/no responses, action item on no response, response time limit, job number and category. For questions scheduled but not yet sent, Cancel and Edit buttons are available to cancel or make changes to the message.

Recipient–Use the Recipient option to view individual employee responses. When viewing records by Recipient, you can view the date/time scheduled, time zone, category body of the message, response, action item, messaging status, recipient number, employee name, and job number. The response column is filled by the recipients actual yes or no response, if given. Action item displays any action item created based on the response, or lack of response, depending on question setup.

The status values display after the message is sent.

  • SMS Sent - message sent successfully
  • No Opt In - user was not opted in when the message was sent
  • Replied Y - message response was yes
  • Replied N - message response was no
  • Unknown Reply - message response included unknown text
  • No Response - user did not reply
  • Msg Overridden - a later message over-rid this message
  • Employee Not Active - the employee did not have an active status when the message was sent

On the right side of the grid, a Cancel button is available for messages not yet sent. It can be clicked to remove an individual from receiving that specific message. Once a message has been canceled, it displays a Canceled icon in place of the Cancel button.

Reset/Refresh

Click Reset to turn all filters back to default.

Click Refresh to load data into the grid based on the filter options you selected.

Advanced Filter Options

Select a Data Source of either SMS Questions or TeamTimeMessages. SMS Questions is the default for this report when opened from the System module and TeamTime Messages is the default when it is opened from the TeamTime module.

Use the Employees Category filter to further refine the data.

Message Report Detail Grid

Use the grid to view the message details. Use the field chooser to show or hide columns in the grid.

Tip:  All grid fields in scheduled messages can be edited except for Scheduled Date/Time and Recipients fields.

Select All/Cancel Selected

You can select all messages at once by clicking the Select All button, and cancel all selected messages at one time by clicking Cancel Selected. When clicking Cancel Selected, a confirmation message box displays. Canceled messages have a Canceled icon in place of the individual record Cancel button.
