SYS: Bulk Address Validation

Overview

Each night, the bulk address validation tool automatically validates the Employee Master File and Job Master File payroll tax addresses that have not been validated. Running this process nightly helps keep addresses validated. This bulk process validates active and inactive employees.

Key Functionality

Once the bulk address validation process has run, the Bulk Address Validation check box cannot be deselected. Bulk Address Validation has been turned on for all clients and cannot be turned off.

The bulk update process searches for address matches in Melissa data.

Use the Pending Address Changes tab on the Payroll Tax Address Validation window to review addresses which matched to Melissa Data through the bulk process, but the match was not close enough to automatically update the address. If the system could not identify a correct address to validate or provide a suggestion, the address appears on the Invalid Addresses tab.

Select the Guaranteed Daily Email check box and enter a valid email address to receive the automated address verification email every day, regardless of errors. If this check box is cleared, you receive an email only when there are errors.

The Include Inactive Addresses for the current year + __ prior year(s) field allows you to control how long inactive employee and job addresses display on the PAY: Address Validation window. Enter a value for the number of prior years to include in address validation.

Example:  If you select the Include Inactive Addresses for the current year + __ prior years check box and enter 0 in the field, only invalid addresses for the current year display; if you enter 2 in the field, invalid addresses for the current year and the prior two years display; if you clear the check box, invalid addresses will not display.

Auto Accept USPS Standards

When the Auto accept USPS standards check box is selected, all addresses that are on the Pending Address Changes tab of the PAY: Address Validation window are marked for re-validation. These addresses are reprocessed during the next nightly bulk address run. Addresses that are valid but do not fully conform to the United States Postal Service (USPS) standards are validated and updated automatically. The USPS standards updates include:

  • Move the apartment number from Line 2 to the end of Line 1
  • Update street abbreviations (for example, North to N)
  • Remove punctuation such as periods (for example, N.W. to NW)
  • The city, state, and zip code (first 5 digits) must be accurate
