JOB: Paging Multiple Supervisors

Overview

Use this procedure if you have Jobs that are set up to send pages and want the page send to more than one Supervisor. If you want to set up paging for a specific Supervisor, you would select a Supervisor name from the list on the Absenteeism Notification Schedule. Since you want to set up a paging to go to more than one Supervisor, you will NOT select a Supervisor name from the list on the Absenteeism Notification Schedule. You will need to make sure the Supervisor field on the Absenteeism Notification Schedule is not filled in.

  1. From the WinTeam Menu, click Job Costing.
  2. From the Job Costing menu, click Jobs.
  3. Enter the Job Number for which you want to set up paging.
  4. Once the record displays, double-click in the Supervisor field to display the Supervisor add/edit list.
  5. Select, or enter the correct Supervisor name for the Job.
  6. Once you select a Supervisor, the Supervisor Details (for TeleTeam) grid displays with detail information if any exists.
  7. Click the Add New button below the Supervisor Details (for TeleTeam) grid. This will open the grid.
  8. Type the Employee # in this field, or use the Find Feature to locate the Employee # of the employee you want to assign supervisory details for TeamTime, and then press Tab. The Employee Name will display.
  9. Optional: Enter a numeric PIN (personal identification number) for this TeleTeam Supervisor. This is a valid password for completing Group Check In and Check Outs and for hearing voice messages. If you do not assign a PIN here and a PIN does not exist on the Classification screen, the system will not require a PIN.
  10. Type or select the Pager ID for this employee, and then press Tab. If you want to add a new Pager ID, double-click in the Pager ID field, or type a new Pager ID and press Enter. The Setup Pagers add/edit list displays.
  11. Add as many supervisors on this grid that should receive the page.
    Note: If only 1 Supervisor is in the Supervisor Details (for TeleTeam) grid, only 1 will obviously be paged. Therefore, in our example Employee #65 and Employee #2233 are tied to Supervisor ID 34. Both employees (65 and 2233 will receive the page, provided there is not an entry in the Supervisor field on the Absenteeism Notification Schedule.
  12. Click Close to return to the Job Master File screen.

CRITICAL STEP - Making sure a Supervisor does not exist on the Absenteeism Notification Schedule

  1. Click the Timekeeping Info tab.
  2. Click the Setup TeamTime Job Attributes button.
  3. Click the Setup Absenteeism Schedules button.
  4. Select the Shift Time record.
  5. Tab to the Supervisor field.
  6. Delete the entry if one exists.

Failure to delete an item in this field, will cause just ONE page to be sent, rather than using the Supervisor Details previously set up.

As a quality check you may click the Supervisor list to see if any names are listed. If there are no names in the list, go back to Step 4 above to add a Supervisor Detail record.

If a schedule shift is set up to page, the Job Supervisor MUST have at least one Supervisor Detail record tied to the Supervisor Name. If no detail record exists, paging will fail.
