TB: Prospect File Report
Overview
You can use the Prospect File Report to print information from the Prospect Master File record. You can use this report to print Follow Up calls needed by Salespersons. You can select the option Print Versions if you need detailed information relating to the Versions and Buildings currently set up with the Prospect.
The Prospect Master File Report can be run to Group By Prospect Name, Sales Rep, Customer Type, Follow Up Date (Default) , and Prospect Type. The report can Sort by Prospect Name, Sales Rep, Customer Type, Follow Up Date (Default) , and Prospect Type.
Key Functionality
Type a description to name the report. This description prints above the Report Title.
Available for Clients using the Multi-Company feature. The Default Company Name for Report is populated from the Company Setup screen. The list contains all companies you have permission to access.
- If the User has permission to only one company, then just that one company will display in the list.
- If the User has permissions to more than one company, the list will contain all companies the User has rights to PLUS the default reporting company.
When the Group By Company option is selected, the default company prints on the Grand Total Page and the Report Criteria page. All other pages print the applicable company name. When the Group By Company option is NOT selected, the default company prints on every page of the report.

Prospects
Use the Prospect category to filter the report by Prospects.
Select All to include all Prospects.
Select Range to define a range of Prospects for the report. When you select Range, the range fields display. Type the beginning Prospects ID in the From field and the ending Prospects ID in the To field, or use the Lookup feature to locate the record.
Select Pick to define specific Prospects for the report. When you select Pick, the Prospects list displays. Select the check box next to each Prospects to include on the report.
Select Create to define your own list of Prospects. When you select Create, a small grid displays to the right. Enter the Prospect ID Numbers you want to include in the list, or use the Lookup to locate the Prospect ID Numbers.
Select Exclude to identify records that should not be included. When you select Exclude, a small grid displays to the right. Enter the Prospect ID Numbers you want to exclude in the list, or use the Lookup to locate the Prospect ID Numbers.
Prospect Type
Use the Prospect Types category to select the Prospect Types to include on the report.
Select All to include all Prospects, regardless of Prospect Types.
Select Pick to select specific Prospect Types for the report. When you select Pick, the Prospect Types list displays. Select the check box next to each Prospect Types to include on the report.
Customer Types
Select the Customer Types to include on the report.
Select All to include all Customer Types on the report.
Select Pick to define specific Customer Types for the report. When you select Pick, the Customer Types list displays. Select the check box next to each Customer Type to include on the report.
Follow Up Dates
Use the Follow Up Dates category to filter the records by follow up dates.
Select All to include all Prospects, regardless of the bid follow up date.
Select Date Range to define a range of dates for the report. When you select Date Range, the date range fields display. Type the beginning date in the From field and the ending date in the To field, or use the Date Control to select a date.
Sales Rep
Use the Sales Rep category to select the sales representatives to include on the report.
Select All to include all Sales representatives on the report.
Select Pick to define specific Sales Representatives for the report. When you select Pick, a list of all Sales Representatives displays. Select the check box next to each Sales Representative to include on the report.
Select the Include Versions check to include the Prospect Notes from the Prospect Master File and Version and Building directions.
Select the Include Notes check box to include Prospect Notes from the Prospect Master File.
Select the Include Custom Fields check box to include the Custom Fields on the report. Only the Custom Fields that are used will display on the report. You could print all 26 Custom Fields, if used.
This check box is not selected by default.
Select the Include Active Prospects Only check box to exclude inactive Prospects from the report.
Select this check box to print the company logo on the report. It is selected or cleared by default based on the option selected in SYS:Defaults. However, you can modify the setting on each report.
Select this check box to include a list of the report options selected for the report. The Report Criteria page includes any ranges specified and each Category/Record selection made for the report. This check box is cleared selected by default.
Preview
Click the Preview button (or use the shortcut key, ALT + V) to view the report before printing.
Click the Print button (or press ALT + P) to send the report to your default printer.
Export
Click the Export button (or press ALT + X) to export the report to a specified format. Reports may be exported to Adobe Acrobat (PDF), Excel, Comma-Separated Values (CSV), Grid View and E-mail (available for premise-based clients only).
