Creating Contacts

Overview

Use this procedure to create a new Contact. Contacts can be created several ways depending on the type of contact you are creating.

To create a new Customer, Job, Prospect, or Vendor Contact

  1. From a Master File record, click the Contents tab.
  2. From the Contacts tab, click the Contact Setup button (or press ALT + C).

    The Contacts screen displays.
  3. Type the First Name of the Contact. The First Name field appends to the Display Name field. If you enter a Last Name, it also appends to the Display Name field.
  4. Make sure an entry exists for the Display Name.
  5. Select a Contact Type for this Contact. When adding a new Contact, the system displays the default Contact Type. To add a new Contact Type, double-click in the Type field, or type a new Contact Type and press Enter. The Contact Types add/edit list displays. Each Contact must be assigned a Contact Type.
  6. Enter any other appropriate information for this Contact.
  7. Save the record.

To create a new Employee Supervisor Contact

  1. From an Employee Master File record, double-click in the Supervisor field.
    The Supervisor screen displays.
  2. Double-click in the Contacts field.
    The Contact screen displays.
  3. Type the First Name of the Contact. The First Name field appends to the Display Name field. If you enter a Last Name, it also appends to the Display Name field.
  4. Make sure an entry exists for the Display Name.
  5. Enter any other appropriate information for this Contact.
  6. Select a Contact Type for this Contact. When adding a new Contact, the system displays the default Contact Type. To add a new Contact Type, double-click in the Type field, or type a new Contact Type and press Enter. The Contact Types add/edit list displays.
  7. Save the record.

To create a new Job Supervisor Contact

  1. From a Job Master File record, double-click in the Supervisor field.
    The Supervisor screen displays.
  2. Double-click in the Contacts field.
    The Contact screen displays.
  3. Type the First Name of the Contact. The First Name field appends to the Display Name field. If you enter a Last Name, it also appends to the Display Name field.
  4. Make sure an entry exists for the Display Name.
  5. Enter any other appropriate information for this Contact.
  6. Select a Contact Type for this Contact. When adding a new Contact, the system displays the default Contact Type. To add a new Contact Type, double-click in the Type field, or type a new Contact Type and press Enter. The Contact Types add/edit list displays.
  7. Save the record.

To create a new Job Tier Contact

  1. From a Job Master File record, click the Tier Parameters tab.
  2. Double-click in a Tier Description field. The Tier Description screen displays.
  3. Double-click in the Contacts field. The Contact screen displays.
  4. Type the First Name of the Contact. The First Name field appends to the Display Name field. If you enter a Last Name, it also appends to the Display Name field.
  5. Make sure an entry exists for the Display Name.
  6. Enter any other appropriate information for this Contact.
  7. Select a Contact Type for this Contact. When adding a new Contact, the system displays the default Contact Type. To add a new Contact Type, double-click in the Type field, or type a new Contact Type and press Enter. The Contact Types add/edit list displays.
  8. Save the record.

To create a new Employee Supervisor Contact

  1. From an Employee Master File record, double-click in the Supervisor field. The Supervisor screen displays.
  2. Double-click in the Contacts field. The Contact screen displays.
  3. Type the First Name of the Contact. The First Name field appends to the Display Name field. If you enter a Last Name, it also appends to the Display Name field.
  4. Make sure an entry exists for the Display Name.
  5. Enter any other appropriate information for this Contact.
  6. Select a Contact Type for this Contact. When adding a new Contact, the system displays the default Contact Type. To add a new Contact Type, double-click in the Type field, or type a new Contact Type and press Enter. The Contact Types add/edit list displays. For more information, see Contact Types.
  7. Save the record.

To create a new Job Supervisor Contact

  1. From a Job Master File record, double-click in the Supervisor field. The Supervisor screen displays.
  2. Double-click in the Contacts field. The Contact screen displays.
  3. Type the First Name of the Contact. The First Name field appends to the Display Name field. If you enter a Last Name, it also appends to the Display Name field.
  4. Make sure an entry exists for the Display Name.
  5. Enter any other appropriate information for this Contact.
  6. Select a Contact Type for this Contact. When adding a new Contact, the system displays the default Contact Type. To add a new Contact Type, double-click in the Type field, or type a new Contact Type and press Enter. TThe Contact Types add/edit list displays. For more information, see Contact Types.
  7. Save the record.

To create a new Job Tier Contact

  1. From a Job Master File record, click the Tier Parameters tab.
  2. Double-click in a Tier Description field. The Tier Description screen displays.
  3. Double-click in the Contacts field. The Contact screen displays.
  4. Type the First Name of the Contact. The First Name field appends to the Display Name field. If you enter a Last Name, it also appends to the Display Name field.
  5. Make sure an entry exists for the Display Name.
  6. Enter any other appropriate information for this Contact.
  7. Select a Contact Type for this Contact. When adding a new Contact, the system displays the default Contact Type. To add a new Contact Type, double-click in the Type field, or type a new Contact Type and press Enter. The Contact Types add/edit list displays. For more information, see Contact Types.
  8. Save the record.

To create a new Prospect Contact

  1. From a Prospect Master File record, click the Contacts button. The Contacts List screen displays.
  2. From the Contacts List screen, click the Contact Setup button. The Contacts screen displays.
  3. Type the First Name of the Contact. The First Name field appends to the Display Name field. If you enter a Last Name, it also appends to the Display Name field.
  4. Make sure an entry exists for the Display Name.
  5. Enter any other appropriate information for this Contact.
  6. Select a Contact Type for this Contact. When adding a new Contact, the system displays the default Contact Type.   7. Save the record.

To create a new Vendor Contact

  1. From a Vendor Master File record, click the Contacts button. The Contacts List screen displays.
  2. From the Contacts List screen, click the Contact Setup button. The Contacts screen displays.
  3. Type the First Name of the Contact. The First Name field appends to the Display Name field. If you enter a Last Name, it also appends to the Display Name field.
  4. Make sure an entry exists for the Display Name.
  5. Enter any other appropriate information for this Contact.
  6. Select a Contact Type for this Contact. When adding a new Contact, the system displays the default Contact Type. To add a new Contact Type, double-click in the Type field, or type a new Contact Type and press Enter. The Contact Types add/edit list displays. To create a new Customer Contact

  1. From the Customer Master File (Contacts tab), click the Contact Setup button. The Contacts screen displays.
  2. Type the First Name of the Contact. The First Name field appends to the Display Name field. If you enter a Last Name, it also appends to the Display Name field.
  3. Make sure an entry exists for the Display Name.
  4. Enter any other appropriate information for this Contact.
  5. Select a Contact Type for this Contact. When adding a new Contact, the system displays the default Contact Type.
