Managing Personnel Scheduling

Daily

  1. Run an Open Position Warning Report to determine Jobs that have unfilled positions. This will allow you to fill the position prior to the actual schedule date. You may run this report for both the Master and Working Schedules.
  2. Run an Overtime Warning Report to identify Jobs where overtime is scheduled, or worked. If this report is run prior to the scheduled work week, the overtime may be reduced or eliminated by assigning different employees. If a replacement cannot be found, you may want to make a note of this on the report and you may also want to make a note in the Dispatch Notes area of Scheduling (click the Dispatch Notes button on the Schedules screen).
  3. Run the PS Report: Post Qualification if your company has specific performance requirements which need to be met before an officer can work at a particular post, run the Post Qualification Report for exceptions only. This report will identify anyone currently scheduled for the specified date range that has NOT met the requirements of the post.
  4. Make any necessary changes to your schedules daily.

Weekly

  1. Enter pay rate changes into the appropriate Employee Master File. This is extremely important for companies who use Tier Billing since customer billing is tied directly to employee pay rates.
  2. Run the Scheduling Activity Report to review all billing and payroll information for the specified date range. This report is an excellent review tool to make sure all information is accurate before updating hours to billing and payroll. Pay special attention to the flags on the report.
